Receptionist (Part-Time)

Roycemore School seeks a part-time receptionist for the 2025-2026 school year. Now in its 110th year, Roycemore is a highly regarded, co-educational independent school for students from 3 years old through 12th grade. Located in Evanston, Illinois, on the north side of Chicago, Roycemore enjoys a long-standing relationship with Northwestern University.

The Receptionist is expected to be a role model, promote professional practices, and embody the values and mission of Roycemore School. This position reports to the Director of Finance & Operations and is responsible for matters relating to school operations, as delegated by the Head of School. These include, but are not necessarily limited to, the following areas:

Areas of Responsibility

  • Serve as the primary point of contact by answering incoming phone calls and directing inquiries appropriately
  • Monitor building access by admitting visitors through the main entrance and underground garage
  • Welcome and check in/out visitors, ensuring proper documentation and adherence to security protocols
  • Stay informed of after-school programs and activities to assist with timely and safe student pick-up
  • Provide basic care and support for students who are sick or injured
  • Act as an emergency point of contact, maintaining open, responsive communication with staff, parents, and students in urgent situations
  • Ensure the building is cleared of unsupervised students at the end of the school day, confirming that remaining students are with authorized adults
  • Conduct nightly security walk-throughs of the first floor, verifying that all doors and entry points are properly locked and secured
  • Maintain general office filing systems and ensure timely organization of documents
  • Provide front desk coverage during events as needed
  • Proofread written materials for the Communications and Development departments to ensure clarity and accuracy
  • Organize, process, and manage school-wide mailings and postal needs
  • Sort and distribute incoming mail to appropriate departments and individuals
  • Assist with maintaining accurate daily attendance records and related documentation
  • Update and manage student information in accordance with school policies and confidentiality standards
  • Oversee office supply inventory and fulfill staff supply requests throughout the school year
  • Manage branded materials including letterhead, envelopes, and business cards
  • Maintain and troubleshoot office equipment such as postage machine, fax, and copiers; monitor supply levels and service needs
  • Provide administrative support to school leadership and staff across various departments
  • Perform additional duties as assigned by the Head of School to support the overall mission and operations of the school

Qualifications

  • Previous experience preferred
  • Knowledge of current office practices and procedures
  • Proficiency in Microsoft Office and Google programs and ability to learn new software applications
  • Knowledge of and ability to use the internet and web-based systems
  • Ability to organize multiple tasks and prioritize work
  • Foster a welcoming, positive, and inclusive attitude
  • Exemplary interpersonal skills
  • Ability to communicate clearly and distinctly with staff, students, parents, and outside agencies

Compensation: $16.50-$22.00/hour (no benefits)
Hours:
Monday-Friday, 3:00-6:00 pm
